Flexible SharePoint Data Use

Query Data is one important feature highlight for Workflow Boost that is not available in other workflow designers. It is a very powerful tool for creating relationships among lists and getting data from different lists on multiple levels.

It’s quite complicated and it’s best to explain Query Data in a real-life office environment: A sample scenario is about employees asking for “Leave of Absence”; the corresponding manager and the related department head must approve it.

In this workflow, whenever any employee fills the “Leave of Absence” workflow, Query Data automatically determines the employee’ position through a list, and through the employee’s position, Query Data will determine the employees’ manager as well as determine the department head.

Once manager and department head are determined, an Approval activity may be set as the next task. Through this, it would now be easy for both superiors to approve this leave of absence! Additional activity like sending notification email in between tasks or delays may also be added.

Query Data is a more complex yet flexible tool that establishes complex data-relationship as more information is gathered. Unlimited number of relationships may be established through Query Data.

4. Example: Designing a simple SharePoint workflow for “Leave of Absence”

1. Introduction

1.1. What is Workflow Boost

Sharepoint Workflow Boost is a workflow designer for businesses or IT professionals that simplifies work process by drag-and-drop feature for delegating tasks, deploying projects, email reminders, document flows and other business or IT-related procedures.

1.2. Who uses Workflow Boost

Workflow Boost is designed for managers, business or IT professionals who create business processes within a company. Users need not have programming skills, though it is recommended that the user have at least a basic grasp of SharePoint Foundation/Server 2010.

2. Getting Started

2.1 Creating a workflow

On SharePointBoost Workflow Settings,

Click Create a new list workflow

2.2 Setting up your workflow

Before you create a new workflow, a window will pop up prompting you to choose which list you want to create a new workflow to.

After choosing a list, another window will prompt you to Set basic information about your workflow.

Tip: Name your workflow with words that are related to the workflow process. Don’t forget to type in a simple description so you can use this template in the furute.

Note: The workflow will be automaitcally saved after you click OK.

3. Workflow Activites Explained

3.1 Introduction to Workflow Activities

To the left of the web editor. there are 5 panel options you can choose to design your workflow operations: Commonly used, List Operations, Logic and Flow, Operations and User Interaction. Click on each panel to choose the activity.

To start using the the activity, drag an activity from the workflow activity panel and drop into the green add sign in the workflow designer.

During the course of each activity explained, Edit Label lets the user rename the activity title, rename the left label, right label as well as the bottom label of each activity instead of using the default title.

Tip: Double click the workflow activity box to quick-acess Edit tab.

3.2 Explanation of Each Workflow Activity and Its Uses

Loop – a workflow action that runs continuously until a condition runs false. However, the designer may also set the workflow to run a certain number of loops.

To set number of loops, set the Maximum Look Count - the loop will stop after the number of times that is manually indicated in the count box. This setting prevents the infinite loop.

Condition – a logic within the workflow based on a certain condition that evaluates to true or false. Condition is used to determine when to execute a workflow process, either it true or false.

Delay – a workflow will be paused for for a defined period of time (in days, hours or minutes interval) before it resumes.

Create Item – create item with columns.

Create item in – used to select a list in which to create an item.

Columns – edit the column value in item where it was created.

Store new item ID in - the created item will be assigned an ID; this new item ID will be stored in a List Item ID Workflow Variable.

Update Item – changes and updates value of item column.

Update item in - choose a list/library to update.

Update Options - user can choose to update the first item or all items if multiple items meet the condition.

Delete Item – select a list to delete an item from; delete items based on conditions.

Query Data – get list column value by setting up complex conditions. Query list item data based on the condition and store the data to variable.

Select items from list - select the list where the item is in.

Column - it is contained in a list

Store in Variable - the data will be stored in this variable.

Condition - column value in the item, which matches this condition, will be stored. You can make another query in the match condition window to query some items from another list and then compare the item value among these lists. Through this function, you can make a query chain.

Log History – log workflow activities to history list. A text box will appear for log history reference notes.

End Workflow - terminate the current workflow. There’s an option for user-defined message in log history.

Set Variable – assign value to a variable. At least one workflow variable needs to be created for an action to be relevant. Either specify a value or use the Current Item Columns value to set the variable.

Approval – request one or more users to endorse and process an approval. Choice of approval involves All to approve or First response applies. An optional email may be set to be sent to approvers of the said activity.

All to approve – a task will be approved if only ALL approvers approve it. If one approver rejects, the task will be rejected.

First response applies – an approval task will only depend on the first response with disregard for the approvers that come after

Request Data – request a user to enter some data. To complete the activity, the user requested data from must provide a value for each data item specified in the action configuration. The workflow will wait for the task to be finished before continuing the workflow. Once the task is completed, the data that the user entered is available within the workflow.

Send Email – send customizable notifications to selected users via email.

4. Example: Designing a simple SharePoint workflow for “Leave of Absence”

Here is a sample demonstration on how to design a workflow for employees to use whenever they would ask for leave of absence. Instead of signing paper forms and passing it to higher authority for approval, Workflow Boost will do everything for you.

This is a sample scenario about an employee asking for leave from supervisor. By the end of this tutorial, you would be able to:

• Design a workflow
• Run the leave of absence workflow
• Have supervisor/manager approve or deny the leave form and send a notification email

Summary of “Leave of Absence” workflow scenario:

An employee submits leave request to his/her supervisor. If the supervisor approves the leave, system will send an email to both the employee and supervisor that the leave has been approved. Consequently, if the supervisor does not approve the leave, system will also send an email to the both parties informing the leave has been denied. Summarized workflow view below:

1. Use Query Data activity to search for the immediate supervisor of employee. Search senior manager in employee list based on position-related, then save to person or group type variable.

2. If the immediate supervisor-search is unsuccessful, workflow will send an email to employee and reject the “Leave of Absence” form.

To send an email, drag an email activity and fill up the * boxes and fill in the email message.

However, if the immediate supervisor-search is successful, workflow will continue with the activity (which is sending the supervisor Approval notification).

Questions about Licensing:

• What is the difference between a Server License and a Site Collection License/Farm License?
  • Currently, we can provide Server License, Site Collection License and Farm License:
  • Each WFE will require a Server License (For SharePoint 2007: all servers running the SP Web Application service will need to be licensed; for SharePoint 2010: all servers running the "Microsoft SharePoint Foundation Web Application" service will need to be licensed). SPB Server Licenses do NOT limit the number of end-users.
  • A Site Collection License (with end-user number limit) can be applied to one site collection only, you would need to make sure the number of end-users is within the end-user number limit provided by your license;
  • A Farm License can be used across all site collections within a SharePoint farm; however the maximum number of users within each site collection is limited by the end-user number limit provided by your license. For example, a 400-end user Farm License means that the number of users within a site collection should not exceed 400.
  • To find out the number of end-users you have in your site collection/farm, please check the license management page (this will appear after you install the trial version of our software on your SharePoint servers), or download and run the free End User Viewer Tool available here: http://www.sharepointboost.com/end-user-viewer-tool.html.
• Which type of license should I choose?
  • Server Licenses are better if you would like to use the product without site collection or end-user restrictions.
  • A Site Collection License/Farm License is better if you only want to use the product in one site collection/farm and the number of end-users is unlikely to grow rapidly or change frequently.

• What are "end-users" and how do they affect my Site Collection License/Farm License?
  • End-users do NOT affect Server Licenses. An end-user count is only needed for a Site Collection License or Farm License.
  • An end-user is defined as any user who has access to, or has accessed any site in your Site Collection/Farm at any point in time, either directly (e.g. signing in) or indirectly (e.g. assigning him a task). And the number of end-users in the site collection means the total number of users across all sites in the site collection.
  • Once a user has accessed a site in the site collection/farm, he is counted, regardless of whether or not this user is active on the site where the product is used. For example, while you may only have 50 users who would need to use the product on Site A in the site collection, there are 360 users accessing Site B (including the 50 accessing Site A), making a total of 360 users with access to the site collection. Since Site A and Site B are in the same site collection, you would need to purchase a license for at least 360 users. SPB licenses increase in increments of 100 users, so if there are 360 people who have access to the site collection, you will need to purchase a 400 end-user license.
• If the current end-user number exceeds the end-user number allowed by my Site Collection License/Farm License, what will happen?
  • Please note that end-users do NOT affect Server Licenses.
  • If the current end-user amount exceeds the amount of end-users allowed by your Site Collection License/Farm License, the original functions and settings of the software will NOT be influenced until you change them (e.g. additions, deletions, modifications, etc.)
  • You can either use our End User Viewer Tool to delete some inactive or disabled SharePoint users (http://www.sharepointboost.com/end-user-viewer-tool.html) or upgrade your license with more end-users.The cost of a license upgrade is equal to the price difference between the old and new licenses, plus a standard fee of 50 USD applied to all upgrates submitted. For example, if you had purchased a 200 end-user license for $500 and now you want to upgrade to a 300 end-user license (Price: $600), you only need to pay the difference (600-500=$100) plus the standard upgrade fee ($50), therefore in total $150. It also applied to Farm License.
• What will happen if I buy a new server or add another server? How will this affect my license?
  • Please note that adding an additional server/replacing an old server with a new one will NOT affect Site Collection Licenses/Farm Licenses. Please contact sales@sharepointboost.com for more information only if your Site Collection ID/Farm ID has changed.
  • However, if you are using Server Licenses for an SPB product and you subsequently add an additional WFE to your environment, you will need to purchase another Server License. Also, if you elect to replace an old server with a new server, and the Server Code subsequently changes, you will need to contact sales@sharepointboost.com for more information.
• What is Premium Annual Support? If I buy it, what do I get?

  • Premium Annual Support must be renewed each year. Support fees are charged per license per year.
• How can I find my Server Code or Site Collection ID/Farm ID?

• What is the price for DEV/Test environment? Is there any discount?
  • SharePointBoost offers 50% discount off the list license price for DEV/TEST environment when customers purchase license for their production environment.
• Do I have to pay for updates as new versions of the product are released?
  • Do I have to pay for updates as new versions of the product are released?
  • A minor release contains bugs fixes and minor feature changes (e.g. 1.0 to 1.1). Major releases include significant feature additions and enhancements (e.g. 1.x to 2.0), and Major releases (usually with significant functionality added) require the payment of an upgrade fee. However, if you purchase our Premium Annual Support plan, then all major and minor releases are free for one year.
• Do I need to apply for a new license if the site collection ID/farm ID/server CODE has been changed?
  • Yes. Since the license is generated based on the specific site collection ID/farm ID/server CODE, which means, once the site collection ID/farm ID/server CODE is changed, the original license CODE would be invalid as well. You need to contact our sales team(sales@sharepointboost.com ) for further assistance.
